Applicant Privacy Notice

This notice explains how your personal data is processed when you apply for funding through an organisation that uses Grantmaker. It is intended for grant applicants and the organisations they represent.

1. Who We Are

Grantmaker is a grant management platform developed and operated by Deerleap Innovations Ltd., a limited company registered in England and Wales (Company Number: 16542670), with its registered office at 3 The Bramleys, Whiteparish, Salisbury, England, SP5 2TA.

We provide the technology platform that the funding organisation (the "Funder") uses to manage their grant-making process. The Funder is the data controller for your personal data — they decide why and how your data is processed. We act as a data processor on the Funder's behalf, meaning we process your data only as instructed by the Funder and in accordance with our agreement with them.

If you have questions about how your data is used, or wish to exercise your data protection rights, you should contact the Funder directly.

2. What Data Is Processed

The data processed through Grantmaker depends on what the Funder collects as part of their application process. This typically includes:

  • Information about the applicant organisation (name, registration details, address, financial information)
  • Information about individuals associated with the application (names, roles, contact details)
  • Documents and supporting materials submitted with the application
  • Publicly available information about the applicant organisation, which may be retrieved from public registries (such as the Charity Commission) and publicly accessible websites to support the assessment process

3. How Your Data Is Processed

Your data is processed within the Grantmaker platform to support the Funder's grant-making activities, including:

  • Managing and tracking applications
  • Assessing eligibility against the Funder's criteria
  • Scoring applications against the Funder's framework
  • Conducting due diligence and risk analysis
  • Supporting the Funder's decision-making process

4. The Role of Artificial Intelligence

Grantmaker uses artificial intelligence (AI), including large language models, to assist Funders in assessing applications. It is important to understand the following:

  • AI is used for decision support only. AI-generated assessments assist the Funder's team but do not make funding decisions. All funding decisions are made by people at the Funder.
  • AI outputs are probabilistic. They are not deterministic, may vary, and may contain errors. They are one input among many in the Funder's process.
  • AI assessments can be overridden. The Funder's staff can override any AI-generated assessment and provide their own independent assessments.
  • Assessments follow the Funder's criteria. AI assessments are generated based on the eligibility criteria, scoring frameworks, and risk factors defined by the Funder.
  • Justifications are provided. The platform provides explanations for AI-generated assessments, which are available to the Funder and support transparency in the decision-making process.
  • Your data is not used to train AI models. The AI models used by Grantmaker are standard commercially available models. Your data is not shared with AI model providers for training or model improvement.

5. Data Security and Location

Your data is hosted within the United Kingdom and is protected by appropriate technical and organisational security measures, including encryption in transit and at rest. Further details are set out in our Privacy Policy.

6. Data Retention

Your application data is retained in accordance with the Funder's instructions and our agreement with them. Audit records of AI-generated assessments (including scores, justifications, and reasoning) are retained for a minimum of 6 years to support governance and accountability obligations. These audit records do not include your source documents.

7. Your Rights

As the Funder is the data controller for your personal data, you should direct any data protection requests to them. This includes requests to:

  • Access your personal data
  • Correct inaccurate data
  • Delete your data
  • Restrict or object to processing
  • Receive your data in a portable format
  • Not be subject to decisions based solely on automated processing

We will assist the Funder in responding to your requests in accordance with our obligations under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
